Simply Fire was missing claim opportunities on nearly every job. Here’s how they fixed it.

Business name: Simply Fire
Location: New Zealand

Simply Fire went from under-claiming progress payments to capturing the full value of nearly every job. The key shift was real-time visibility – seeing material costs as they hit the job, not weeks later when the chance to bill had already passed.

“We’re only 40% through the job, so we can only claim 40% - but we’ve already bought all the material. We should be at 60% because there’s so much value sitting in the job. With Nexvia, we can pull it up in the actuals versus budget report and get it out.”

The challenge

Simply Fire had outgrown their project management software. The system couldn’t give them visibility into material costs, hours against budget or job progress. To stay on top of claims, the team built workarounds – running reports outside the platform and manually checking jobs before each claim.

"Before Nexvia, we were missing a lot of that detail. I had to create my own document where I was getting the information and tracking it through another system."

By the time they had enough information to claim accurately, the opportunity to capture full value had often passed. Materials would arrive on site, but without visibility into those costs sitting in the job, claims went out based on completion alone.

When the system changed ownership, they saw an opportunity to find something better – a platform that could give them day-to-day visibility across every project.

What changed with Nexvia

Nexvia gave Simply Fire the visibility they’d been working around for years. Everything now runs through one system – quoting, budgeting, time tracking and progress claims – with real-time data at every stage.

The mobile app logs site hours directly against estimate lines, giving clear visibility of where time goes each day, not weeks later. They now quote using assemblies – labour and materials combined – with estimates converting straight into live budgets that track actual costs in real time.

Simply Fire can now access all the data they need instantly – from quote performance to job budgets.

"We use it heavily. Obviously for our quoting - I can track whether we're winning or losing quotes. I can see patterns emerging. I can do budgeting through the budgets tab. When we win a job, I'm converting that estimate into a project, and that becomes my budget."

When progress claims are due, Simply Fire pulls the actuals versus budget report to see exactly what value sits in the job – materials, labour, everything – and claim accordingly.

"The team has really taken to it. Even some of the older guys - it took them a little bit longer - but now they're all onto it and it's made their life a lot easier.”

The outcome

Simply Fire now captures the full value of every job instead of under-claiming and risking profitability. Before submitting claims, they review every active job using the actuals versus budget report – checking hours, materials on site and costs incurred – then claim strategically to protect margins, not just match completion percentages.

That same visibility means issues surface immediately. If hours are tracking over, they can respond the same day instead of discovering it after the claim goes out.

“I can say to somebody, ‘What happened here? How come we've chucked all these hours in when we were going over?’ And they can track it from there.”

The mobile app has also cut out double-handling that used to eat up office hours. Site teams log hours directly, managers verify once and timesheets automatically link to job budgets and claims – saving approximately 15% in admin time.

“Now it's straight on the system. He just checks it once - bang, done. A lot quicker. A lot more efficient.”

Why it matters

Simply Fire didn’t just replace a system – they stopped leaving money in jobs. Real-time visibility means they can claim the full value they’ve delivered and catch cost issues before they compound.

"The visibility on each project day by day - that's been huge. I can go in there and see what the tracking of the guys is. The information is there. It's very much trackable."
