The challenge
Architect-designed projects don’t fit templates. Designer fixtures and fittings. Windows arranged in unique configurations needing individual specs. Lift-and-build-unders with complex plans. Every job was completely bespoke, yet VL Constructions’ old system treated them all the same.
They were relying on a corrupting spreadsheet as their CRM and a desktop project management tool that was no longer supported. Critical specs slipped between systems, and the rigid line items in the desktop software couldn’t accommodate the level of detail their clients expected.
"A lot of other systems didn’t give you scope to write. Since we work on architecturally designed projects with complex plans, we needed to be very specific about our scopes of work - what was included and what wasn’t. We needed space to write and most didn’t have that capability."
There was a bigger issue too. With the director and one person managing sales, projects and accounts, rising complexity made it impossible for their old systems to keep up.

"Our template has lots of prompts to remind us. For example, there was one house where we nearly missed that we needed to move the gas meter. Now we always include a gas plumber in our template, which prompts us about disconnecting, reconnecting or installing gas."
On site, eight staff use the mobile app for timesheets, daily audits, onsite works inspection checklists and defect logging. Labour is assigned to specific work sections, so overruns – like wall framing burning through budget – appear early enough to adjust, not at final account.
That flexibility carries through to the backend. When VL needed to track defects beyond the standard three-year window, Nexvia tailored the system to support a 6.5-year period. When they needed to invoice a trust for a commercial client, Nexvia added that field. When “estimates” didn’t suit their language, Nexvia renamed it to “proposals”.
"Some of our industry contacts use a program for this, Excel for that, another system for something else. For us, it’s all in one place – we can refer back to previous projects, cycle revisions, look at financial windows. That’s the biggest win.”

Today, VL Constructions quotes complex, bespoke projects with confidence. Proposals read the way architect-designed clients expect – precise, transparent and clear. Once approved, the proposal becomes the live project with no re-keying or rebuilding information.
Template prompts help them avoid costly omissions before site mobilisation. Cost-to-complete highlights variances early while there’s still time to adjust. Labour tracking shows patterns across projects so they can refine budgets and improve accuracy in future quotes.
When a project wraps, defects are already logged, assigned and signed off in-system. No digging through spreadsheets or chasing information weeks later. Projects can actually close on time.
“We can track all our defects using the pipeline report to see where all clients are in their defect period. We don’t have to go to an Excel spreadsheet, then a quoting program, then an invoicing program.”
Xero integration keeps invoicing and bills synchronised. Lead-to-project conversion happens in one place. Two years of financial data now lives in searchable history instead of corrupted files.
